CIPCUG SIG meeting on

Email Stationary

July 7, 2003

Making your email fancy

Want to make your email stand out? Be fancy?

Start with the simple first - use fonts and sizes.

In Outlook Express - when creating a new email - you can change the font easily by looking above your message text box and seeing the Font pull down menu. If you change the font before you type, the whole message will be that font. If you decide later, you can highlight the text you want to change and then change it.

Isn't that simple? And you can also justify Left or Right or Center your text.
This will be more important later.

PHOTOS

The other thing that is quite popular is attaching and imbedding photos.

When creating an email message, after you get to the message box - type the first few sentences (telling them what you're sending) then click on Insert - Picture

This IMBEDS a picture in your email.

the other option is to Attach by either clicking on the paper clip - or Insert - File Attachment

When you RECEIVE an email with a photo....Right mouse click on it and save it to your hard drive.

If it is too big, use a graphic editor - like IrfanView (see link below) to resize it

Stationary

For using Stationary, when starting a new message
Format
Apply Stationary
Choosing More Stationary will let you see how each saved stationary (that comes with Outlook Express) looks like. Isn't this cool? Now there is a warning. Not everyone will be able to see it the way you can now. Some people on Juno, or Yahoo mail may not get the same results.

Now let's try that Signature thing.

Perhaps you've received emails from some people and they always have a little saying at the bottom of the message.
Or just their address and phone number

How do they do that?

You can create your own

In Outlook Express under TOOLS - Options - Signatures.... Click on NEW

The cursor goes to the edit box to write your phrase.

Click OK

Now create a new email and at the end click on Insert - Signature.

You can now Send your email and your signature will be there.

If you want your signature to go on ALL your emails, back when you were in Tools - Options - Signatures, there is a check box that says
Add signatures to all outgoing messages. Click that box and there you go!

If you would like your "signature" to instead be a small picture of yourself - or your cat - or a favorite picture from the internet, or even your real signature (be careful - someone might download it and use it on your checks!) then you can do this:

If you are on a web site that has your picture, Right mouse click on it and go to Save Picture As

and save it to a place you'll remember (like C:\My Documents\My Picures\ )
and name it a name you'll remember as well (me.jpg)

OR write your name on a piece of paper and take a digital picture of it.
Save it to that same folder you keep your photos.

Now - like above - Message - New Message Using - Select Stationary - Create New

This starts the stationary wizard.
click next
for Picture - click on the browse button and go to where you have been putting your pictures.
Likely c:\my Documents\My Pictures

Click on the picture you want to add for your "signature"
when you get back to the preview window, you'll have some choices like Position (top and Left is not what you want for a signature - probably Bottom Right.)
The Color box is kind of fun. Check the box and choose a color for the background of your emails.
Click next and now choose font.

Those of you who HATE arial - here's your chance to CHANGE it

Make sure you look at size (You might want to make sure people can read your messages or that they have a hard time reading your stuff

Finally, make sure you can send all this stuff
by clicking on Tools, Options

And then on the SEND tab and making sure that your email is going out as HTML (and not text)

If you were at this SIG and remember something I forgot, please email me at
